Sales Administrator

Reporting to the Commercial Manager, the Sales Administrator will be responsible for handling parts quotations, order processing, invoicing, and cash collection, while also supporting market intelligence and early opportunity identification using AI-driven tools and Salesforce.  

 

Major Responsibilities: 

Quotations & Orders 

  • Prepare and issue quotations for parts and related services. This includes coordinating with other departments to request unit cost, lead time, stock checks, shipping cost, requesting engineering input, etc. 

  • Process One-Time Sales (OTS) accurately in the system for both onshore and offshore, and for multiple entities. 

  • Set up orders for newly awarded OTS and ensure all related documentation is properly maintained. 

  • Set up new clients requests or existing clients’ change requests, whenever required. 

Pricing & Data Management 

  • Maintain and regularly update the spare parts price list. 

  • Ensure all pricing information is accurate, current, and aligned with company policies. 

Delivery & Invoicing 

  • Follow up with Logistics and Warehouse teams to monitor timely delivery of materials and inform the customers accordingly. 

  • Follow up with Procurement and Logistics teams to monitor timely delivery of Sales Orders and inform the customers accordingly. 

  • Prepare and issue one-time sales invoices promptly and accurately. 

Accounts Receivable & Cash Collection 

  • Support the finance team with invoicing info, whenever requested. 

Coordination & Reporting 

  • Liaise with internal teams (Sales, Procurement, Logistics, Finance, and Projects) to ensure smooth workflow. 

  • Maintain accurate records of all contracts, POs, invoices, and related documentation. 

  • Generate regular reports on order status, invoicing progress, collections, and pricing updates. 

  • Generate monthly reports on One Time Sales Forecasting. 

  • Create and update One Time Sales opportunities on SalesForce. 

Market Intelligence & Opportunity Management (AI-Driven)  

  • Conduct continuous market scanning to identify early-stage opportunities and trends.  

  • Utilize AI tools and Salesforce analytics to detect potential business opportunities.  

  • Maintain a structured pipeline of leads and early opportunities.  

  • Provide market intelligence feedback to the Sales team based on AI insights and data analysis.  

  • Support proactive positioning ahead of formal tender issuance.  

Salesforce & Opportunity Tracking  

  • Create and maintain opportunities in Salesforce including early-stage leads. 

  • Track progress of tenders and opportunities through all stages. 

  • Ensure accurate updates of probability, milestones, and status. 

  • Provide periodic reports on pipeline performance and conversion rates. 

  • Follow up of submitted offers and record feedback.   

Support 

  • Support EMEAA teams with Sales and ERP related issues.

Job Specific Education Required: 

Essential (E):  

  • Post-secondary education in Business field or equivalent 

 

Work Experience Required: 

Essential (E):  

  • 3 years of experience in a similar work environment. 

 

Skills and Knowledge Required: 

Essential (E):  

  •  Proficient in business software applications, particularly Microsoft Office (Excel, Word, Outlook)  

  • Working knowledge of AI tools and data-driven solutions, with the ability to support market analysis and opportunity identification  

  • Experience with SAP ERP systems (order processing, invoicing, and data management)  

  • Strong verbal and written communication skills in English (additional languages are an advantage)
