Reporting to the Project Personnel Manager the Apprentice Personnel Administrator will provide day‑to‑day administrative support to the Personnel and Project teams, assisting with personnel logistics, record keeping, and coordination activities. This role is designed to support the apprentice’s development through structured training while gaining practical experience within a fast‑paced personnel function.
The post holder will work closely with the Personnel Co‑ordinator and Project Personnel Manager to ensure personnel information is accurate, up to date, and compliant with company and client requirements. ##
The role can be based in Kintore, Aberdeeenshire, Invergordon or Burnley.
Major Responsibilities:
Personnel Administration Support

Assist with the administration of personnel mobilisation and demobilisation activities.

Maintain accurate personnel records, including certification, medicals, and compliance documentation.

Support the tracking of personnel availability, leave, and offshore movements using company systems (e.g. Solab).

Update databases and spreadsheets accurately and in a timely manner.
Travel and Logistics Support

Assist with booking travel and accommodation in line with company procedures.

Support the preparation of travel letters and assignment documentation.

Liaise with internal teams to support personnel scheduling and changes.
Payroll and Finance Administration

Assist with checking and processing timesheets and expense claims.

Support payroll administration by ensuring data is accurate and submitted on time.

Raise purchase orders and assist with invoice and cost validation under supervision.
General Administrative Duties

Support weekly operations and personnel meetings, including preparing agendas and taking minutes.

Maintain filing systems ensuring confidentiality at all times.

Assist with PPE ordering, logging, and tracking for offshore personnel.

Respond to general personnel queries and escalate where appropriate.
Learning and Development

Actively participate in apprenticeship training and complete all required coursework and assessments.

Develop knowledge personnel processes, compliance, and best practice.

Seek feedback and demonstrate continuous improvement in performance.

Job Specific Education Required:
- Good standard of secondary education (e.g. National 4/5, GCSEs) including English and Maths.
- Willingness to study towards a recognised apprenticeship qualification.
Work Experience Required:
- No prior experience required; suitable for school leavers or career starters.
- Office or administrative experience is desirable but not essential.
Skills & Knowledge Required:
- Organised with good attention to detail.
- Willing to learn and take direction.
- Basic IT skills (Microsoft Excel, Word, and email).
- Good communication skills, both written and verbal.
- Reliable, professional, and able to handle confidential information.
- Positive attitude with a “can‑do” approach.
- Able to work effectively as part of a team.
